Groups FAQ

How to reserve

How do I book a group tour?

Reservations can only be made on request using the pre-reservation form.

Reservations cannot be made by telephone. We need written information in order to issue the booking form that will confirm your visit.

When should I book?

The museum has set up a booking calendar that indicates when bookings can be made. You'll find this calendar on the website under "When do I need to book?

Any request sent outside these opening dates will not be processed.

Processing my request / Cancellation

I've sent a request but I haven't received a reply, is this normal?

Once the pre-booking form has been completed and validated, you will be given a number to track the progress of your request.

Reservations are processed on a first-come, first-served basis and confirmed approximately two months before the requested date.

What happens after I fill in the form?

Once you have completed your visit request form, you will receive an e-mail acknowledging receipt of your request. Please note that this does not constitute acceptance of your request.

If the dates requested or the theme of the visit are not available, the department will contact you by e-mail or telephone to discuss other possibilities.

You will receive a booking form by e-mail to confirm your visit approximately two months before the requested date, which you must sign and return to the booking department to confirm your visit.

If the visit slot is not convenient for you, you must inform the reservations department to free up the slot.

Am I sure to get a confirmation for one of the desired dates?

The booking department will do its utmost to respect your choice of date, but will request several dates in case the first is no longer available.

You agree to be available on the dates indicated. The service will contact you if none of the dates requested is possible.

I have to cancel my visit / I indicated dates in my pre-booking form but I'm no longer available, what should I do?

If you have not yet received confirmation, you can send an e-mail to the reservations department(reservation.museedarts@nantesmetropole.fr) indicating :

- Your form number :

- Name of establishment :

- Three new dates available with your time constraints if you wish to postpone this visit:

Billing

Can I get a quote?

No estimate is provided in advance, but a booking voucher will be emailed to you to confirm the visit. Included:

- contact details,
- number of participants,
- date,
- time,
- theme,
- price,
- tour details.

Do I have to pay in advance?

No, no payment is required in advance. You can pay on the spot (cheque, credit card or cash), by deferred payment or via the Pass Culture (schoolchildren).

How do I pay for my group's visit using the Culture Pass?

The Culture Pass must be ticked as the means of payment on the booking form.

The reservation department will then create a slot on the ADAGE platform and notify you by e-mail once this has been done.

You (or your head teacher) must then validate this slot on ADAGE to activate payment.

How do I pay for my visit by deferred payment?

For deferred payment, your establishment must supply an order form with the signed reservation form. This document must include: the establishment's contact details, SIRET number, date, time and price of the visit(s). It should be e-mailed to the reservations department in advance of the visit.

The invoice is then sent to your establishment by the French Treasury.

How do I obtain an invoice?

We advise you to request your invoice directly from the ticket office on the day of your visit.

For school groups choosing deferred payment, the invoice will be sent to the school after the visit.

Practical information

What does my visit confirmation give access to?

All reservation vouchers give access to at least the permanent collections.

The theme of your visit, which is noted on your reservation form, determines the areas to which you have access.

If the name of a temporary exhibition is noted on your voucher, you can visit that exhibition and the permanent collections.

What time should I arrive at the museum?

Groups must arrive 15 minutes before the start time of their visit (ticket office, changing rooms, toilets, etc.).

I'm late for my visit. What should I do?

If you're running late for a visit, you can call the museum switchboard to let them know you'll be late (02 51 17 45 00).

However, the mediator will be obliged to shorten the duration of the visit by the time equivalent to the delay. The end time will remain unchanged.

Please note that for any delay of more than 15 minutes, the museum will not be able to provide the service.

What documents do I need to bring with me?

When you arrive, you'll need to show your booking voucher to the receptionists and go to the ticket office to obtain admission tickets (even if you have free admission).

I'm planning to take a guided tour with a mediator. Where can I find him?

You can meet the mediator in charge of your visit in the reception hall, after presenting your reservation voucher at the ticket office and dropping off your belongings in the checkroom.

Is there somewhere to park a coach?

Coaches can park on the zebra lines alongside the museum on rue Gambetta.

Can I picnic with my group?

The museum has no picnic facilities. You can ask at the Jardin des Plantes, less than 5 minutes' walk away.

Can I take photos?

Photos for non-commercial or advertising purposes are permitted without flash, unless otherwise indicated on the work.

Can I leave my belongings in a checkroom?

Yes, it is possible to use the changing rooms.

Please note that items larger than 55cm x 35cm x 20cm will not be accepted.

Can I stay in the rooms after my visit?

For school groups, after 4pm only.

For adult groups, it's possible all the time.

Do I have the right to speak?

Only French or foreign museum guides and curators holding a professional card, and French or foreign teachers leading their students, are entitled to speak on presentation of proof.

School groups

What types of tours are available?

School groups have access to a dedicated program with three types of visits:

- Guided tour with a museum mediator.

- Self-guided tours: these tours address specific themes and focus on three, four or even five works. The class is divided into two or three sub-groups.

- Self-guided tour: teachers must specify a self-guided tour when booking, to check availability of tour areas.

Do I need to prepare my visit?

Whatever type of activity you choose, it's important to prepare your students for their visit to the museum: what is a museum, what can you find there, what can you do, what can't you do, and so on.

If your visit is accompanied by a museum mediator, there's no need to prepare your students for the theme that will be covered during the tour.

For self-guided tours, a guide is always available on the website. It tells you how to approach the visit and how to form your group.

For self-guided tours, please indicate the areas you wish to visit when making your reservation.

Should my class be divided into groups?

For groups of 30 or more (including students and accompanying adults), it is necessary to divide the group.

For self-guided tours, the class must be divided into two groups, as indicated in the accompanying documentation for the chosen theme.

Is there a limit to the number of accompanying persons?

For kindergarten classes: one adult for every 6 children

For primary school classes: one adult for 8 children

I'd like to bring several classes at the same time. Is this possible?

It is possible to attend several classes on the same day, but not on the same themes, at the same time.
